Effective Date: September 2026 | Last Updated: September 24, 2026
Data Transparency & Protection

This Privacy Policy describes how The Gas Stop ("we", "us", or "our") collects, uses, and protects information when authorized workforce members, managers, and administrative personnel use The Gas Stop - Attendance Kiosk and The Gas Stop Manager applications.

Summary for Google Play & Enterprise Users:
  • We collect attendance punch timestamps, employee PINs, and shift logs exclusively for business payroll and labor tracking.
  • Camera and facial verification frames are processed securely on-device or transmitted over encrypted TLS solely to verify employee identity during clock-in. We do not sell, rent, or monetize personal or biometric data.
  • Location data (GPS) is only accessed by the Manager application to verify geofenced station presence during clock events.

1. Camera & Facial Biometric Data

The Gas Stop Attendance Kiosk utilizes the device camera to verify employee physical presence at the designated branch terminal during clock-in and clock-out events.

  • Purpose of Processing: Preventing unauthorized proxy clocking ("buddy punching") and ensuring accurate labor hours.
  • Storage and Security: Face verification is performed using on-device biometric SDK algorithms and encrypted TLS transmissions. Facial template representations are never shared with external advertisers or commercial data brokers.
  • Consent: Employees register their photo identification with the explicit consent of their employing organization.

2. Location Information (GPS)

The Gas Stop Manager application may request permission to access device location (ACCESS_FINE_LOCATION and ACCESS_COARSE_LOCATION).

  • Location is queried only when performing punch logging or reviewing branch operational perimeter boundaries.
  • We do not track continuous background GPS location when the application is not actively in use for work-related functions.

3. Employee & Account Data

To operate our timecard and workforce management service, we store:

  • Employee identifiers: First and last name, work email, system ID badge numbers, and assigned gas station branch.
  • Workforce logs: Clock-in/out timestamps, shift break intervals, and supervisor approvals.

4. Data Security & Storage

All communication between our mobile applications, attendance kiosks, and cloud servers is secured using industry-standard Transport Layer Security (TLS 1.3 / HTTPS encryption). Data is hosted on high-availability, SOC 2 compliant enterprise infrastructure with automated backups and strict role-based access control.

5. Data Retention & Deletion Requests

We retain attendance logs in accordance with United States federal and state statutory labor record-keeping regulations. Upon termination of an enterprise agreement or upon formal request from an authorized company administrator, employee profiles and associated facial enrollment data can be archived or permanently purged from our databases.
